Dynappco offers central management of all Tosca entities

Tosca managed its entities in separate environments, with manual work on bank transactions, depreciation and VAT. NetSuite now handles all of it from one system, fed by a central master data hub.

01 · The challenge

Switching entities for every transaction

The finance team at Tosca was ready and waiting for new accounting software. Every transaction meant switching over to the right entity, and routine work such as uploading bank statements and batch payments took the same steps again and again.

Depreciation schedules for ten entities, the fixed asset register and VAT declarations for Belgium and the United Kingdom were largely manual work as well. On top of that the business kept growing, so the workload grew with it.

02 · The solution

NetSuite, with the master data in order

Tosca evaluated various software packages. NetSuite came out best: most other packages would have needed significant customisation to meet their requirements, while NetSuite was pretty much plug-and-play.

Dynappco implemented NetSuite across all entities, with links to the software Tosca already used: Tableau for analysis and Pool-IT, the pooling engine that keeps availability and transactions up to date.

In parallel, sister company B-Flow set up a hub for the master data. Customer and supplier data is now entered in one place and flows from there through to NetSuite and Pool-IT.

  • Ten entities in a single environment
  • Bank statements and batch payments
  • Depreciation schedules across all entities
  • Fixed asset management with monthly suggestions
  • VAT declarations for Belgium and the United Kingdom
  • Links to Tableau, Pool-IT and the master data hub

Before

  • Switching entity for every transaction
  • Bank statements and batch payments as routine work
  • Fixed assets entered in the register by hand
  • VAT declarations by hand

After

  • All entities in a single environment
  • Almost entirely unburdened
  • NetSuite suggests the items and the duration
  • Submitted directly in the right format

03 · The result

Custom reports and time that comes back

The biggest gain is on bank transactions: a routine task the team is now almost completely unburdened from. Depreciation schedules largely take care of themselves, and for fixed assets the software suggests both the items and the duration, with built-in intelligence that gets it almost always right.

Reporting is easy to customise per user: add fields, convert to Excel or email a report to a colleague. The reports used most relate to sales, open invoices, margins and cash, and they feed Tableau as well.

Tosca keeps growing by 15% per year, and NetSuite has largely allowed them to handle that increased workload with the same number of people.

We no longer need to switch over every time we want to process a transaction for a new entity, which saves us a lot of effort.
Stephanie Heyman, Financial director, Tosca
