Dynappco assists enviolo with NetSuite environment migration

After a split between the Dutch and American activities, the entire NetSuite environment of enviolo had to move with it. Invoices, orders, payments and inventory, without daily operations coming to a halt.

01 · The challenge

Moving everything while the business keeps running

The structure of enviolo changed, with activities split between the Netherlands and America. All operational data had to move from the American NetSuite environment to a new Dutch entity, so that invoicing, accounting and financial reporting could be managed from the Netherlands.

Operations are tied to that environment. Going days without being able to create orders or invoices was not an option, and in the meantime the monthly reports to the board, the tax returns and the annual accounts all had to stay on schedule.

Then there was the volume. Not only customer and supplier data, but also invoices, orders, payments and inventory. So much data that placing it all in a test environment first was not possible.

02 · The solution

Unravel first, then move it once and properly

The original environment had not been set up by Dynappco. The project therefore started with several workshops to list all requirements and resolve potential issues before the final go-live. The relevant custom scripts were unravelled and rewritten.

Because the taxation of an American legal entity differs from that of a Dutch one, that was taken into account during the migration to avoid accounting problems later on.

A cut-over test was run first, to keep downtime to a minimum. Over the migration weekend the team worked non-stop. Nothing was optimised along the way on purpose: transfer everything neatly first, improve afterwards.

  • Requirements listed in workshops
  • Custom scripts unravelled and rewritten
  • Cut-over test run first
  • Difference in taxation between both entities accounted for
  • Invoices, orders, payments and inventory migrated
  • Accounts still closed in the old environment

03 · The result

Limited downtime, and room to improve

The project ran four months, with very limited downtime. A few unexpected challenges came up at go-live, but quick action kept the impact on daily activities minimal. The accounts could still be closed neatly in the old environment.

Since completion there is a weekly meeting to discuss optimisations and settle the final details, such as the VAT calculations. enviolo has meanwhile employed two data analysts who build dashboards and set up KPIs, to make the order book more visible and improve purchasing and forecasting.

During the go-live, we faced a few unexpected challenges, but thanks to Dynappco's flexibility and quick action, the impact on our activities was minimal.
